10 Best Tent Layout Ideas: Event Layout Plan, Wedding Ceremony Table & Tent Layout
If you’re planning on holding any kind of event such as a wedding in the open, we have some amazing ideas for you. We have come up with a list of ideas to help you plan your wedding ceremony layout in any part of the globe.
1. Start planning early
To be sure that everything you need on your big day is available, you need to start planning way before the actual day comes. If you don’t plan early enough and your wedding happens to be during the peak wedding month, you might not get some accessories and equipment that you need. Booking tents and venues during off-peak wedding months is a great way to save money.
Planning also lets you have a back up plan incase things don’t go as planned. This allows you to be prepared for the worst while still hoping for the best.
2. Create a theme
Whatever kind of wedding you plan on having; whether simple, sophisticated, bold or extravagant, ensure that you have a theme and stick to it. Some common themes include vintage, rustic, modern, and contemporary. The tables, chairs, décor, and cutlery should all follow the set theme.
3. Get a tent
This is a big part of the planning process. Tents will provide your guests with shelter to protect them from the elements of the weather. The size of the tent you get is determined by how many guests you expect to show up for the wedding.
Have the tent rental team come to the venue beforehand to see what kind of foundation will be needed to put up the tent. If the ground is not level, they need to know.
4. Select the tables and chairs
There are different table sizes and shapes that you can choose from depending on the layout you plan to have. Also, keep in mind that different numbers of guests can fit at a square, rectangular, and round tables. Factor in the total table count when planning the wedding seat layout.
5. Rent other accessories
The best thing about most rental companies is that once you rent their accessories and equipment, you don’t have to worry about setting up or taking them down.
It would be great if you rented all the items that you need from the same rental company to avoid confusion and for better coordination of the setup. Apart from tents, tables, and chairs, other must-have items include dinnerware, linens & draping, lighting, sound systems, generators, heaters & coolers, and portable washrooms.
6. Figure out a floor plan
It is hugely important for you to figure out a floor plan for your wedding tent set up. This involves deciding where and how the tables and chairs will be arranged as well as how much room you need for a dance floor, stage, and reception table layout.
7. Don’t leave out the bar
Ensure that you have at least one bar and two bartenders for every 100 guests at your wedding. The bars should be spread out so that people don’t crowd at one place. If you decide to set up cocktail tables, leave enough room for the people to move about.
8. Decorate for a personalized touch
Decorate the wedding tents exactly how you imagined your big day would be. Consult with your partner to come up with ways of creating special areas that you both can relate with. The environment created should make you feel “at home” and relaxed – no one wants to be stressed on their wedding day.
9. Light it up
Use unique masterpieces to light up the wedding venue in whatever pattern you prefer. You can use candles, lanterns, or chandeliers. These will, especially, come in handy in the evening during the after-party.
10. Add games
It’s highly likely that some of your guests will bring their children to the wedding. Set up a gaming area where the kids can play while the ceremony goes on. Incorporate adult games too so that guests who can’t dance get something else to do.
Tent Layout Ideas
There are many different ways in which you can set up the seating arrangement under a tent. This is usually determined by the size of the tent and how many guests you’d like to fit under it. For example, you expect that a 30x45 tent layout would be different from a 40’X60’ or a 10’X20’
Below are some of the ways in which you can maximally use the space under the tent in order to have maximum capacity.
1. 20x20 tent layout
How many tables can fit under a 20x20 tent you ask?
A 20’X20’ tent can fit either four 5-foot round tables or four 8-foot rectangular tables. Each of these tables can accommodate 8 guests, making the total tent capacity to be 32 guests.
2. 10x20 tent layout
A 10’X20’ tent can fit either three 5-foot round tables or four 6-foot rectangular tables. When you use the round tables, you can host a total of 24 guests with 8 of them on each table. While using the rectangular tables, you can have 32 guests under that tent with 8 of them on each table.
3. 20x40 tent layout
A 20’X40’ tent can fit either ten 5-foot round tables or ten 8-foot rectangular tables (this arrangement is also referred to as the banquet seating layout). Each of these tables can accommodate 8 guests, making the total tent capacity to be 80 guests. Below are two illustrations of the 20x40 tent layout using round tables and rectangular tables.
4. 30x40 tent layout
A 30’X40’ tent can fit either twelve 5-foot round tables or twelve 12-foot rectangular tables. When you use the round tables, you can host a total of 96 guests with 8 of them on each table. While using the rectangular tables, you can have 120 guests under that tent with 10 of them on each table.
5. 40x100 tent layout
A 40’X100’ tent can fit either forty 60-inch round tables or 52 8-foot rectangular tables. When you use the round tables, you can host a total of 320 guests with 8 of them on each table. While using the rectangular tables, you can have 416 guests under that tent with 8 of them on each table. Here are two examples of the 40x100 tent layout which are quite similar to the 40x80 floor plan.
A floor plan is basically a representation of a room that is drawn to scale and shows the view from the top. The dimensions are usually indicated on the drawing’s walls to give an impression of the rom size. For weddings, its really important to have a floor plan as it helps in planning the table and chair arrangement. A floor plan will show you exactly what to expect after the rental company is done with the tent setup. The plan makes the whole event table layout and arrangement process quick, easy, and smooth.
